Step 1: Define the fabric before you browse the market
Sourcing goes wrong at the start more often than at the end, because "I'll know it when I feel it" is not a specification. Before contacting anyone, write down what the material must do and translate that into spec language: fibre composition, construction (woven or knit, and which), a target weight range in GSM (grams per square metre — the standard weight measure), width, stretch and recovery needs, and the care regime the end product will realistically get.

Step 2: Read the paper before you discuss the price
Every serious supplier can produce a technical data sheet for a fabric, and asking for it is your first filter — reluctance to share one is information in itself. The sheet tells you composition, weight, width, shrinkage figures, colourfastness ratings, and finish, and each line is worth checking against your written spec before any money moves. Two fabrics with the same name and the same photograph can sit far apart on paper.

Step 3: Verify claims instead of accepting them
A spec sheet is a claim, not a guarantee, and the verification habits are cheaper than the trust. Weight is the easiest to check yourself: with sample in hand, a scale and a simple calculation — or a GSM cutter — tells you whether the stated weight is the delivered weight. Step 4: Sample in stages — and know what each stage proves
Sampling is not one event but an escalation, and each stage answers a different question:
- A swatch (a small cutting) answers: is this broadly the material, hand-feel, and drape I imagined? It costs little or nothing and disqualifies fast.
- A metre or two of yardage answers: how does it behave? Wash it the way the product will be washed, measure it before and after for shrinkage, sew it, press it, wear-test it. A swatch cannot tell you any of this.
- A lab dip — a small sample dyed to your target colour for approval — answers: can this supplier hit my shade on this base? Approve it in the light the product will be seen in, not just under office lighting.
- A sealed sample — a reference sample both sides sign off — answers the final question: what exactly did we agree? It becomes the physical standard your delivery is checked against.
The temptation to skip stages is strongest exactly when it is most dangerous: under deadline. A production run approved from a photograph is not approved at all. And because mills and lots genuinely vary, treat every number you were quoted as typical rather than promised — then verify the spec sheet against the sample, and the delivery against the sealed sample.
Step 5: Vet the supplier, not just the fabric
A good fabric from an unreliable supplier is a one-time event. Beyond the material itself, you are buying consistency between lots, honest paperwork, and someone who answers when something goes wrong — so test those directly. Useful probes: ask a technical question and judge the precision of the answer; ask how they handle a lot-to-lot shade difference or a delivered fault (the reply "that never happens" is a red flag — it always eventually happens); ask what quantities they routinely produce, since being a mill's smallest customer by far has service consequences.
Weigh responsiveness during sampling heavily. The supplier's behaviour when you are a small prospective buyer is the best preview you will get of their behaviour when you are a customer with a problem. Slow, vague, or defensive now rarely improves after the invoice is paid.
Step 6: MOQs, price, and what to put in writing
MOQ — minimum order quantity — is the number that shapes who you can buy from. Mills weaving or knitting to order have high minimums because setting up a run has fixed costs; converters and stockists sell smaller quantities of standing fabrics at a higher per-metre price. Neither model is a rip-off; they are different points on the same trade-off between price, minimums, and choice. Practical levers when an MOQ is out of reach: buy a stocked colour instead of a custom dye, ask about surcharged under-minimum runs, or consolidate colours into fewer, larger lots.
Before the purchase order, get the agreement onto paper: the full spec, the sealed sample as the reference standard, tolerances (weight, width, and shade never land perfectly — agree how much variance is acceptable), the fault allowance per roll, delivery dates, and what remedy applies if the goods miss the standard.
